Intelligent space booking: Putting employee experience first

Assigned seating is a thing of the past, as employees need to access workspaces quickly and easily. Here's how our intelligent booking tool places user experience at the centre of every feature.
 

1. Manage your schedule on the go

People’s working lives are quick to change and unpredictable, and any workplace tool needs to be able to flex to accommodate short term and unforeseen twists. 
 
We've developed an intelligent space booking app that learns users preferences and behaviours. Not only can you find and reserve workspaces you need, but you can modify your existing bookings to reflect changes to your schedule anytime.

2. Find spaces tailored to you 

Filling out search criteria on a daily basis to find the right workspace quickly becomes tedious and frustrating, and over time will cause dissatisfaction with the workplace environment as a whole. 
 
Our booking tool addresses this issue with two solutions designed to get employees to the spaces they need with as little effort as possible:
  • On set up users are able to determine their preferences, narrowing the field of search available to them. Simultaneously, administrators are able to define role and departmental based settings, so only the spaces relevant appear as bookable for each user. 
  • Our booking tool learns from users’ previous behaviour, analysing their bookings and suggesting spaces automatically which are tailored to their preferences and needs. 

Combining these features create a system which employees can find and reserve a variety of spaces suited to a variety of tasks in minimal clicks. 

 

3. Automated check in and out 

Systems which are used daily need as few barriers and steps as possible in order to be successful. A common complaint across the board with traditional space booking solutions is the need to manually check in and out of your reservation.  
 
By integrating occupancy sensors into our booking system, we have automated this process, arriving at your reserved desk or meeting room is all it takes to automatically check in.  Similarly, if you do forget to cancel your booking, our system will automatically release your booking when your absence is noted. 
 

4. Hold your booking when running late

It is unrealistic to assume that everyone will be on time all of the time, and booking tools need to take this into consideration and have appropriate methods to avoid missing your reserved space.  
 
Users of our booking system receive automated reminder emails ahead of their bookings, giving individuals the chance to edit, cancel or if you know you’re running late - hold your booking and stop it from being re-released back into the system.
